The Position

Global IT Project Coordinator

Job Summary

JOB  SUMMARY:

This position is part of North America IT RCC organization in Transversal IT team.

The IT Coordinator ensures three key functions: Referred to as PCT throughout this description.

Oversees the widespread of Imerys project management methodology standards. Helps create and is responsible for implementation of oversight of group methodologies and practices designed to optimize project visibility benefits risk mitigation. In addition, the PCT will lead projects of varying levels of complexity. Responsible  for resource capacity management data collection of all applicative and infrastructure initiatives. The PCT has a global view over project activity and is the guarantor of the optimal allocation of resources among IT departments. Control on IT budgets, supervises IT financial internal control supports Regional IT managers to what pertains to Cost Center financial controlling.

 KEY TASKS & RESPONSIBILITIES:

Project Management & Methodology

  • Provide leadership and guidance on project management topics, training and fostering a project management mindset among North America departments, and participating in drawing action plans in case of potential deviation
  • Directly manage specific projects - as assigned.
  • Participate in establishing, fine tuning and deploying, in sync with Group PMO, technical and methodological guidelines, policies, standards and controls about Project management within North America. 
  • Accompany and monitor operational adaptation of technical and methodological guidelines for Project Management
  • Manage and report on the Project Management maturity within North America
  • Support Project Managers to follow projects and risk mitigation on North America perimeter
  • Provide support, training and coaching when needed to North America project managers embedded into or nominated by North America IT departments
  • Provide regular reporting on current state of project programs for North America
  • Establish metrics and reporting framework to measure project performance and maturity level

Resource Capacity Management

  • Centralize detailed planning information and main deadlines from regional IT managers
  • Build and consolidate global roadmaps for application and infrastructure projects
  • Aggregate and analyses resource pool usage
  • Gather risks analysis and provide a global picture
  • Detect inconsistencies between projects and raises alerts if necessary
  • Organize governance bodies and to provide them with relevant information and analysis on roadmaps, projects and budgets to support decision and validation processes
  • Report arbitration needs to governance and provide recommendations (prioritization, abandonment…)
  • Provide information about the overall staffing of teams and their availability
  • Implement and coordinate a regular capacity review process of the IT function capacity
  • Follow staffing performance indicators (staffing levels, etc.) to anticipate resources contention, raise alerts and  implement actions accordingly

Control on IT Budgets

  • Register and follow up all financing flows among IT Department, and guaranty their reliability
  • Ensure management control over IT budget with related reporting
  • Identify group needs, produce IT budget forecast and set up related control procedures with budget representatives among departments
  • Secure monthly and yearly closings
  • Participate in multi-annual strategic planning and advise Global and Regional Director
  • Assure financial reporting from Regional IT to the Group entity and produce all documents required by the Region IT or the Group
  • Implement internal control and ensure financial risk management
  • Guarantee legal, regulatory and Imerys internal control compliance
  • Follow up audit procedures and set up related action plans
  • Measure and analyze gaps between planned and actual budgets
  • Conduct economic studies occasionally (cost study, profitability study, investment opportunity, …)

EDUCATION & EXPERIENCE REQUIREMENTS:

Essential

  • Bachelor’s or Master’s Degree in Computer Science, Information Systems, Economics, Finance or comparable field
  • 5 years of practical experience in project portfolio and capacity management in large heterogeneous enterprise level IT organization
  • 3 years of practical experience in Cost Controlling or Internal Audit
  • Fluent or native English speaker
     

Desirable

  • Experience of working within a culturally diverse global company
  • Conversant in Spanish, French or another European language.
