Site Administrator

A vacancy has arisen for a Full time Site Administrator, (37.5 hours per week, 7.5 hours per day, from 07.00 – 15.00)

The purpose of the role is to -

  • Provide clerical assistance to personnel at all levels within the Plant, interfacing with company systems to ensure that local site payroll transactions are recorded in a timely and accurate manner.

  • Liaise with internal and external suppliers for the supply of all Plant consumables ensuring availability to meet customer requirements.

  • Record daily, weekly and monthly reports of all Plant raw material movements within the company systems ensuring transactions are recorded in a timely and accurate manner.

  • Be able to work with limited supervision gathering accurate information to report on all Plant KPI activities as required.

  • Maintain and report on Plant training requirements to ensure that the competence of Plant personnel is kept up to date.

  • Prepare Certificates of Analysis to accompany customer orders as required

The role is an important point of contact for all site personnel, visitors and contractors so must have experience of dealing with people at all levels.

Key Tasks and Responsibilities include -

  • Collating, recording and inputting all relevant employee pay and attendance details into the company payroll system, ensuring that employee wages are calculated accurately and in a timely fashion. Produce monthly reports of all attendance and sickness for review by the Plant Manager.

  • Recording Plant production and stock information on a daily, weekly and period basis using local systems to track the consistency of the information, prior to input into the central company recording system enabling accurate reporting of all costs and expenditure.

  • Using the company purchasing system to order production materials and consumables from either local Production Stores or Direct Purchase suppliers. Maintain local records or materials ordered, ensuring that all receipts are goods received (gr’d) into the system ensuring that period reconciliation of any commodity is possible.

  • Liaising with external suppliers for maintenance and repair of reported faults on site vehicles and forklifts.

  • Being the point of contact for external cleaning contractors ensuring Plant facilities are to the required standard at all times for a 24/7 facility.

  • Being the point of contact for external contractors, supplying all PPE worn on site, ensuring that any shortages or fail to supply is dealt with and resolved in a timely manner.

  • Reviewing and maintaining all on site training records, producing monthly and yearly reports on training required. And arrange this through the central training department ensuring all competence is up to date.

  • Gathering and recording all Engineering personnel weekly activity time sheets, ensuring that the information is recorded against the correct Works Orders. Where required, raise Works Orders for reported maintenance requirements.

  • Providing general administration assistance to site personnel at all levels, when required agreeing priorities with Plant Manager to ensure that all urgent deadlines are met.

  • Delivering Imerys local Site Induction to visitors and contractors as and when required.

Education and Experience requirements include -

  • A good standard of literacy and numeracy

  • Administrative experience

  • Competency with Microsoft Office systems, specifically Word and Excel and ability to become a competent user of other IT systems as necessary.

  • Ability to multitask

  • Ability to work with accuracy to priorities and strict financial deadlines

  • A confidential approach to all key tasks involving employees and sensitive cost information

  • Excellent communication skills with the ability to communicate with internal colleagues, management and external customers

  • Can develop a working knowledge of Imerys production processes

  • Full driving licence and own transport
