JOB SUMMARY/PURPOSE

Reporting to the Vizag site manager,The Executive Assistant is responsible for delivering various secretarial services to the site manager, while also offering ongoing assistance to the management team in their tasks.

Location: Vizag (India) 

KEY TASKS AND RESPONSIBILITIES

Safety 

 
  • Organizing and storing both electronic and hard copy’s  and maintaining a consolidated list for all applicable legal requirements.

  • Maintaining built documents,manuals  and drawings of the plant and important legal documents

 

Business Process : To support ISO (IMS) implementation

 
  • To lead ISO 9001

  • To Support to the ISO 14001 & 45001 in documentation

 

Functional: To support Site management

  • Provide a range of secretarial support to the Plant management team including organizing & coordinating internal and external meetings, notification to prospective attendees , set-up, pre-and post meeting correspondence, taking minutes, any required follow-up and maintaining appropriate files & records.

  • Prepares and maintains a variety of reports, documents, requisitions for submission to the Plant management team.

  • Create and maintain a system for organizing and storing both electronic and hard-copy information records, and implement record retention procedures.

  • Coordinates and follows through with departmental managers on various work assignments and provides status reports to the Plant Manager.

  • Undertake any other duties related to the responsibilities of the post and which may be delegated by the Plant Management team from time to time.

 

Business Process -Functional

 
  • Support procurement for Vendor master data management

  • Organizing daily plant meeting & maintaining Daily action log sheet

  • Maintaining water & power consumption details & analysis 

  • Leading and coordinating the Communication related activities of the plant and act as a Communication   Correspondent  and to coordinate with the Business area communication team.

  • Preparing  (Google Docs/ Google Slides/ Google Sheets) for the one time activities like Imerys connect day, national safety day, road safety day etc.

  • Supporting Sustainable development activities at the plant especially documentation works.

 

JOB SPECIFICATIONS

 
  • Bachelor's Degree in any related education.

  • 2-3  years’ experience 

  • Proficiency in Google Suite is a must (Google Docs/ Google Slides/ Google Sheets)

  • Good planning and organisational skills

  • Good time management and multitasking skills

  •  Ability to supervise people
